Vendor Onboarding in D365 F&O: Building a Process That Doesn't Bottleneck Procurement

TL;DR: Stop letting your Accounts Payable and Procurement teams act as manual data-entry clerks for new vendors. By leveraging D365 F&O’s Vendor Requests, Vendor Collaboration, and Workflows, you can push the busywork back to the vendor and automate the approvals.


Trying to manually onboard a new vendor via email chains is a lot like trying to get three kids out the door for school on a Monday morning. Someone is missing a critical piece of information (a W-9 instead of a left shoe), someone is yelling, and the entire schedule is severely bottlenecked.


(Speaking of bottlenecks, I told my kids I was fixing our vendor onboarding process today. They asked if it involved a "vendor machine." I just sighed in X++.)


In many organizations, procurement gets stalled because AP is endlessly chasing down tax IDs, banking details, and addresses. But in D365 Finance & Operations, we have the tools to build an onboarding engine that practically runs itself.


Here is the DynamicsDad blueprint for a vendor onboarding process that actually works.


Phase 1: The Internal Ask (Vendor Requests)


Every good process starts with a gateway. We don't want employees just shouting, "Hey, we need to buy widgets from Acme Corp!" down the hallway.


Instead of an email, use the Employee Vendor Request feature in the Procurement and sourcing module.


The Setup: Employees submit a formal request for a new vendor right inside F&O (or via a Power App linked to Dataverse/Dual-write if you want to keep them out of the ERP).

The Benefit: It forces the requester to justify why they need a new vendor instead of using an existing approved supplier. It’s the enterprise equivalent of your kid asking for a new toy, and you responding with, "Don't we already have one exactly like this at home?"

Phase 2: Making Them Do the Chores (Vendor Collaboration)


Here is the biggest secret to a smooth onboarding process: Make the vendor do the heavy lifting.


Think of this like teaching your kids to pack their own school lunches. The Vendor Collaboration module allows you to invite a prospective vendor to a secure external portal.

How it Works: Once the internal request is approved, F&O automatically sends an email invitation to the prospective vendor.


What They Do: The vendor logs in and fills out their own profile. They enter their legal name, addresses, contact info, procurement categories, and diversity certifications.


Why It's Magic: Your AP team isn't manually typing data from a poorly scanned PDF. The data flows directly into F&O as a "Prospective Vendor" record. If they spell their own company name wrong, that’s on them!


Phase 3: The Digital Permission Slip (Workflows)


Once the vendor has submitted their profile, we need a bulletproof approval process. You wouldn't let your teenager borrow the car without checking if they have gas money and a driver's license. Similarly, we need to route the prospective vendor through the right checks.


Set up the Prospective vendor user request workflow to handle the routing automatically:


  1. Purchasing Review: Do we agree to their payment terms and trade agreements?

  2. Compliance/AP Review: Did they attach their W-9 and valid banking details?

  3. Final Creation: Once the final approver hits "Approve," F&O automatically promotes the "Prospective Vendor" record into a real, active Vendor record in the VendTable.

Watch your Number Sequences! When you set this up, F&O generates a number for the Prospective vendor, and a different account number when they become a Real vendor.


Make sure your number sequences for prospective vendors have a distinct prefix (like PROV-######) so your data management team doesn't get confused when querying records.
